Terms of Service

1. Acceptance of Terms

By creating an account, accessing, or using DocPeel®("Service", "we", "us", or "our"), you agree to be bound by these Terms of Service ("Terms") and our Privacy Policy. If you do not agree, do not access or use the Service. These Terms apply to all visitors, registered users, API consumers, and workspace members.

2. Description of Service

DocPeel® is an AI-powered data extraction platform. It lets you upload documents (PDF, DOCX, images, and EML email files), define structured extraction templates, and receive the extracted data as JSON. The Service is accessible through a web dashboard, a REST API, and optional integrations with third-party platforms such as Google Drive, Dropbox, Notion, Slack, and others.

Extraction accuracy depends on document quality and content. Results are AI-generated and may contain errors. You are responsible for reviewing outputs before using them in any downstream process.

3. Account Registration

To use the Service you must register for an account using a valid email address or Google OAuth. You agree to:

• Provide accurate, current, and complete registration information
• Keep your password confidential and not share it with anyone
• Notify us immediately at hellodocpeel@gmail.com of any unauthorized access to your account
• Take full responsibility for all activity conducted under your account

One person or legal entity may not maintain more than one free account. Accounts registered with false information may be suspended without notice.

4. Subscription Plans

DocPeel® offers the following subscription tiers. All prices are in USD and are charged at the start of each billing period.

Annual plans are charged as a single upfront payment for the full year. Annual subscribers receive the full year's credit allocation immediately upon payment, rather than monthly instalments.

Prices are subject to change. We will provide at least 30 days' notice of any price increase to existing subscribers. Continued use after the effective date constitutes acceptance of the new price.

5. Credits

The Service uses a credit system to measure extraction usage. Credits are consumed when you run an extraction job, according to the following rules:

• PDF and DOCX files: 1 credit per page
• Image files (PNG, JPG, WEBP, etc.): 1 credit per file
• Email files (.eml): 1 credit for the email body, plus 1 credit per attachment

Each subscription plan includes a credit allocation as described in Section 4. Plan credits reset to their full allocation at the start of every billing period and do not roll over. Unused plan credits at the end of a billing period are forfeited.

In addition to plan credits, you may purchase add-on credit packs at $0.08 per credit. Add-on credits are deducted only after your plan credits are exhausted. Add-on credits never expire and carry over indefinitely across billing periods and plan changes.

If you upgrade to a higher plan mid-cycle, you will receive the incremental credit difference between your old plan and your new plan, prorated for the remaining period if applicable. If you downgrade, no credit adjustment is made; your current balance remains unchanged until the next billing period.

6. Billing, Payments, and Auto-Renewal

All payments are processed by Paddle, our authorised reseller and Merchant of Record. By subscribing, you authorise Paddle to charge your payment method on a recurring basis (monthly or annually, depending on your chosen cycle). Paddle's terms of service apply to all payment transactions.

• Subscriptions renew automatically unless cancelled before the renewal date
• You will receive an email receipt for every charge
• Applicable taxes (VAT, GST, sales tax) are calculated and collected by Paddle based on your billing address
• If a payment fails, we will retry the charge and may suspend access until payment is received

You can view your billing history, update your payment method, and cancel your subscription at any time from the Billing section of your dashboard.

7. Plan Changes

Upgrading (moving to a higher plan or switching from monthly to annual): Takes effect immediately. You are charged the prorated difference for the remainder of your current billing period, and your credit balance is topped up to reflect the new plan allocation.

Downgrading(moving to a lower plan): Scheduled to take effect at the end of your current billing period. You continue to have access to your current plan's features and credits until then. No partial refund is issued for the remaining period.

Switching from annual to monthly billing on the same plan: The change is scheduled to take effect at the end of your current annual period. You remain on annual billing (and keep your annual credit allocation) until that date, after which you are moved to monthly billing.

Cancellation: Cancelling a paid subscription schedules a downgrade to the Free plan at the end of the current billing period. You retain access to your paid plan until then.

8. Refund Policy

All payments are non-refundable. We do not provide refunds under any circumstances, including cancellation, downgrade, unused credits, or dissatisfaction with extraction results. No refunds will be issued after 30 days of payment, and no refunds are provided within that period either.

Add-on credit packs are also non-refundable once purchased, as credits are a digital consumable.

Where mandatory consumer protection law in your jurisdiction provides statutory refund rights that cannot be contractually excluded, those rights apply to the extent required by applicable law.

9. Free Plan

The Free plan includes 20 extraction credits per month. All features of the Service are available on every plan, including the Free plan. The only difference between plans is the number of credits included. Free plan credits reset monthly and do not roll over. We reserve the right to limit or throttle Free plan usage to protect overall service quality.

10. Acceptable Use

You agree not to use the Service to:

• Process documents you do not own or do not have the legal right to process
• Upload content that is unlawful, harmful, threatening, abusive, defamatory, or that infringes any third-party intellectual property rights
• Upload documents containing classified government information or documents subject to non-disclosure obligations you cannot waive
• Attempt to gain unauthorized access to the Service, its infrastructure, or other users' data
• Reverse engineer, decompile, scrape, or extract the source code or AI models underlying the Service
• Use automated scripts to overload or abuse the API beyond reasonable usage patterns
• Resell, white-label, or redistribute access to the Service without our prior written consent
• Violate any applicable law or regulation

Violation of this policy may result in immediate account suspension without refund.

11. Workspaces and Team Members

All plans, including the Free plan, allow you to create a shared workspace and invite team members. All members of a workspace share the same credit pool. The workspace owner is responsible for all charges incurred by the workspace. If a member is removed, their historical extraction data remains in the workspace unless explicitly deleted.

12. Data and Privacy

Your use of the Service is also governed by our Privacy Policy, incorporated here by reference. You are solely responsible for ensuring you have the necessary rights and consents to upload documents that may contain personal data of third parties. If you process documents containing special-category data (health records, financial data, etc.), you are responsible for compliance with all applicable data protection laws.

13. Intellectual Property

You retain all ownership rights to the documents you upload and the JSON data extracted from them. By using the Service, you grant us a limited, non-exclusive, royalty-free licence to process your documents solely to deliver the Service to you.

DocPeel® and its licensors retain all rights in the Service, including its software, extraction models, templates library, trademarks, and all related technology. Nothing in these Terms transfers any of our intellectual property to you.

14. Third-Party Integrations

The Service may be connected to third-party platforms (Google Drive, Dropbox, Notion, Slack, and others). By enabling an integration, you authoriseDocPeel®to access the relevant data within the scope you grant. Your use of any third-party platform is governed by that platform's own terms and privacy policy. We are not responsible for the availability, content, or practices of any third-party service.

15. Service Availability and SLA

We aim to maintain high availability but do not guarantee uninterrupted service. The Service may be temporarily unavailable due to maintenance, infrastructure issues, or events outside our control. 16. Disclaimers and Warranties

The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement. Extraction results are AI-generated; we do not warrant their accuracy, completeness, or fitness for any particular use case. You bear full responsibility for validating extraction outputs before relying on them.

17. Limitation of Liability

To the fullest extent permitted by law, DocPeel® and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service, including loss of profits, data, or goodwill. Our total aggregate liability for any claim arising from these Terms or the Service shall not exceed the greater of (a) the amount you paid us in the 12 months immediately preceding the claim, or (b) $100 USD.

18. Indemnification

You agree to indemnify and hold harmless DocPeel® and its officers, directors, employees, and agents from any claims, liabilities, damages, and expenses (including reasonable legal fees) arising out of your use of the Service, violation of these Terms, or infringement of any third-party rights.

19. Termination

You may cancel your subscription and delete your account at any time through your dashboard. Upon account deletion, your data is removed within 30 days per our Privacy Policy.

We may suspend or terminate your account immediately and without notice for: material breach of these Terms, fraudulent activity, non-payment, or conduct that poses a risk to the Service or other users. Termination for cause does not entitle you to any refund.

20. Governing Law and Disputes

These Terms are governed by applicable law. For users in the European Union, mandatory consumer protection laws of your country of residence apply in full. We encourage you to contact us at hellodocpeel@gmail.com before initiating any formal dispute resolution; most issues can be resolved quickly through direct communication.

21. Changes to These Terms

We may update these Terms from time to time. For material changes we will notify you by email at least 14 days before the change takes effect. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
